Exhibition Stand Design in Dubai: A Practical Guide to Custom Builds, Approvals, and Costs

Planning an exhibition stand in Dubai? Compare shell scheme vs custom builds, understand organiser approvals, build-up timelines, and costs from a UAE fabricator since 2004.

Dubai runs one of the densest exhibition calendars in the world. Between the Dubai World Trade Centre, Expo City, ADNEC in Abu Dhabi, and dozens of hotel ballroom activations, most UAE brands exhibit at least twice a year. The stand is usually the single largest line item in that budget, and it is also the item most often decided too late.

This guide covers what actually determines whether an exhibition stand works: the build type you choose, the approvals the organiser will demand, the production timeline behind the scenes, and where the cost really sits.

Shell Scheme vs Custom Stand: Choosing the Right Build Type

Almost every exhibition decision starts here, and the two options serve different goals.

Shell scheme

The organiser provides a basic modular structure with walls, fascia, carpet, and a set number of spotlights. You customise it with printed panels, vinyl graphics, furniture, and lighting. This suits first time exhibitors, smaller stands under 18 square metres, and brands testing a new market. It is the fastest and lowest cost route, but ceiling height, structure, and layout are fixed.

Custom or space only stand

You are given bare floor space and build everything on it. This gives control over height, double deck construction, hanging banners, enclosed meeting rooms, storage, and custom flooring. It is the right choice when the stand needs to compete visually across a large hall, host private meetings, or demonstrate products.

Modular reusable systems

A middle path that many UAE brands settle into after their second or third show. The stand is engineered from an aluminium frame system with interchangeable graphic panels, so the same structure returns for multiple events with new artwork and a different configuration. The first build costs more than a shell scheme dressing, but the cost per show drops sharply from the second event onward.

What Organisers and Venues Will Ask You For

This is where exhibitors most often lose time. Venue rules in the UAE are strict and enforced, and submissions have hard deadlines that sit weeks before the show.

Structural drawings. Space only stands require dimensioned plans, elevations, and structural calculations, usually stamped by a qualified engineer. Any structure above a set height, and every double deck stand, will face additional scrutiny.

Rigging and hanging point requests. If you want a hanging banner or suspended lighting, rigging plans and load figures go to the venue separately, and rigging slots sell out.

Electrical load declaration. Total power draw, distribution board placement, and certified wiring. Venues can and do refuse to energise a stand that was not declared correctly.

Fire and material compliance. Fabrics, panels, and finishes generally need to meet flame retardancy standards, with certificates available on site during inspection.

Method statement and risk assessment. Larger builds require documented build-up and breakdown plans, including working at height procedures and contractor insurance.

Working with a contractor that submits these packs routinely removes most of this burden. Sadaf Designs has held authorised UAE supplier status since 2015 and prepares structural, electrical, and safety documentation in-house rather than routing it through third parties.

The Real Timeline Behind an Exhibition Stand

Most exhibitors underestimate how early the work begins. A realistic sequence for a mid sized custom stand looks like this.

Six to eight weeks out: brief, space allocation confirmed, concept design and 3D visuals.

Five weeks out: design frozen, technical drawings produced, quotation approved.

Four weeks out: organiser submissions filed for structure, rigging, and power.

Three to two weeks out: fabrication, printing, finishing, and dry assembly in the workshop.

Build-up days: transport, on-site assembly, electrical connection, graphics, furniture, and final snagging.

The dry assembly step is the one that separates smooth build-ups from stressful ones. Assembling the stand fully in the workshop first surfaces fit problems while there is still time to correct them, rather than on a hall floor at midnight before opening.

Design Choices That Change Visitor Behaviour

An exhibition stand is a piece of retail architecture, not a poster. A few decisions consistently matter more than the rest.

Sightline branding. Your name should be readable from across the hall, which usually means elevated signage or a hanging banner rather than logos at eye level.

Open frontage. Stands enclosed by counters across the front reduce entry. Leaving wide open corners raises footfall noticeably.

Zoning. Separate the attraction zone at the perimeter from the conversation zone at the back. Visitors need somewhere to stand that is not in the aisle.

Lighting. Hall lighting is flat and unflattering. Track lighting, edge lit panels, and backlit fabric graphics do more for stand quality than expensive materials do.

Storage. Every stand needs a lockable cupboard for bags, stock, and literature. Stands without one end up cluttered by day two.

Flooring. Raised platforms define territory and hide cable runs, but they need edge ramps for accessibility.

What Drives Exhibition Stand Cost in the UAE

Pricing varies widely, and the variables are predictable.

Floor area and whether the stand is one, two, three, or four sides open

Single deck versus double deck construction

Custom joinery, curved forms, and specialist finishes against standard modular panels

Backlit and illuminated elements, which raise both fabrication and power requirements

LED screens and digital displays, including rental against purchase

Rigging, which carries venue charges separate from your contractor

AV, furniture rental, and floral or styling elements

Build-up and breakdown labour, particularly for overnight shifts

Storage between shows if the stand is reusable

Reusable stands change the arithmetic. Comparing a single event quotation against a three event lifecycle usually reverses which option looks cheaper.

Questions Worth Asking an Exhibition Stand Contractor

Is design, fabrication, printing, and installation handled in-house or subcontracted?

Have they built at your specific venue, and do they know its rules and access constraints?

Who prepares and submits the organiser documentation?

Will the stand be dry assembled in the workshop before the show?

Who is on site during build-up and show days, and what is the response plan if something fails?

Can the structure be reused, stored, and reconfigured for future events?

An in-house model matters more in exhibitions than almost any other signage category, because the deadline cannot move. When printing, carpentry, metalwork, and electrical sit under one roof, a problem found at 6pm is fixed the same night rather than escalated between vendors.

Frequently Asked Questions

How far in advance should I book an exhibition stand in Dubai? Six to eight weeks is comfortable for a custom stand. Shell scheme dressing can be turned around faster, but organiser submission deadlines still apply and are usually four to six weeks before the show.

What is the difference between shell scheme and space only? Shell scheme includes a basic structure supplied by the organiser. Space only is bare floor, and everything above it is designed, engineered, approved, and built by your contractor.

Do I need engineering approval for my stand? Space only stands almost always require stamped structural drawings, and double deck stands face the strictest review. Shell scheme dressing usually does not, though graphics and electrical work still follow venue rules.

Can an exhibition stand be reused at other shows? Yes, if it is engineered for it. Modular aluminium systems with replaceable graphic panels are designed for repeated transport, reconfiguration, and rebranding across multiple events.

Who handles build-up and breakdown? Your contractor should, including transport, on-site labour, electrical connection, and removal within the venue's breakdown window. Confirm this is quoted rather than assumed.
